Client and Session Records

Summary: Client records are for facilitators only and allow you to have one client record with multiple sessions. Each Session record contains within it all prep, admin, and integration info for one "overall session." The record is shared between a facilitator and the associated Service Center.

Client Records

Client records are the homepage for practitioners to see everything about their client. You can see general profile info, the sessions the client has or has had, a place for time-stamped notes, and a document repository.

The client record is specific to that facilitator. Only that facilitator has access to the client record page. And that's part of why we built it that way! There may be notes that shouldn't be shared with anyone but you, so you have a place for those.

Also, by separating Clients and Sessions, we can have a many:1 relationship. Each client can come back for more sessions, and you can keep track of all of that within the client record.

Session Records

Sessions are the entire process of getting a client through preparation, administration, and integration. The session houses all of that information to make that process work. A client can have multiple active sessions and a history of completed sessions.

Unlike client records, session records are shared between the facilitator and the administrator of the associated Service Center. When you create a session, you can associate the session to a Service Center. Similarly, if you don't know which Service Center you'll be using yet, you can add one in later.

Once you associate the session with a Service Center, then all of the information within the session record is shared between the facilitator and the Service Center administrator(s). This allows for easy sharing of OHA forms, administration information (like dosage), and an easy view for both parties to see the status of any session.
